About the organisation:

The Marist Brothers is a religious order within the Catholic Church with a primary focus on education and youth welfare. The Mission and Life Formation (MLF) Team provides for the service professional development and support of leaders and staff in the various Marist Ministries across Australia.

About the role:

This position reports to and works closely with the Director of MLF, along with the MLF Team. This involves a high level of administrative support and assistance along with confidentiality, the ability to meet deadlines, excellent organisational skills and high level computing skills and an ability to work as a team in the creative design and delivery of the highest quality resource publications.

The tasks and duties involved:

  • Providing a high level of support to the Director of Marist Mission and Life Formation and the Marist Mission and Life Formation Team
  • Maintaining diaries and organising appointments, meetings, travel arrangements and accommodation bookings as required
  • Preparation of monthly expenses/reimbursement forms for Director
  • Attending meetings and taking minutes
  • Assisting with the design, preparation and delivery of resource publications and Keynote presentations (similar to PPoint)
  • Managing the organisation and coordination of MLF programmes and events, including the preparation of appropriate materials, organisation of venue, registration and information for participants and guests
  • Managing the online registration software for programs & events
  • Liaising with printing and product manufacturing companies in relation to the production of program resources
  • Writing, proofing and editing correspondence, carry out Mail Merge between Word and Excel; and organise and distribute mail outs as required
  • Welcoming and hosting guests to the office and arranging catering as required
  • Regular file management and weekly reception cover as required

Skills, experience and qualities sought;

  • Previous experience as a PA or EA
  • Holder of a current driver’s licence
  • A commitment to the mission of the Marist Brothers along with supporting the Mission of the Catholic Church
  • Knowledge and understanding of phone systems combined with an excellent telephone manner – personable, articulate and self-assured
  • Excellent written and verbal communication skills
  • Ability to act confidentially and with discretion
  • High level initiative with sound experience in an office environment
  • Ability to process documents with high level attention to detail and a sound knowledge of administrative policies and procedures
  • Highly proficient in Microsoft Office 365 and a readiness to learn and master new programs
